Folder-aware dashboards bring together KPIs, personal and organisation calendars, active inspections, workflow tasks, to-dos and information gaps. Reusable availability templates define standard weekly capacity by inspection type across teams, locations or operating periods. Evaluations and overrides allow planners to account for qualifications, resources, exceptions and changing conditions without rebuilding the schedule. Selected time slots can be published for direct client booking, while private availability remains available for internal planning, assignment and rescheduling. Targeted web and mobile notifications keep the appropriate groups informed about system events, operational notes, booking changes, schedule updates and job events.

Flexible workforce and job postings

PFI-ai supports organisations that supplement employed teams with approved freelancers and subcontractors. Inspection opportunities can be published as controlled job postings containing the assignment scope, location, timing and required competence or role. Eligible external resources can review relevant opportunities, while operations teams retain control over selection, assignment and access. Once engaged, the freelancer or subcontractor is connected only to the authorised project or inspection, receives the applicable workflow, schedule, notifications and field tasks, and contributes records within the same traceable process as the internal team.

Scheduling from capacity to assignment

Availability, bookings, job postings and assignments feed a shared scheduling view so coordinators can match inspection demand with internal and external capacity. Personal and organisation calendars provide visibility of planned work, and schedule changes can trigger targeted notifications to the people and groups affected. This creates a connected path from reusable capacity planning and client booking through resource assignment, field execution and completion tracking.

A configurable workflow designer defines activities, responsibilities, dependencies and sequence in a Gantt-style view. Checklist-controlled state changes help ensure required checks are completed before work progresses. PFI-ai records who completed each activity, when it occurred and what was produced, supporting auditable delivery and measured SLAs. Configurable job infrastructure runs and monitors automated processing tasks.
